Office Supervisor

DMCL Chartered Professional Accountants is looking for an experienced, career-minded office supervisor to join our Surrey location. We require a positive, team-oriented person to set and meet goals and to ensure that every member of the team is delivering in accordance with the high standards of the firm’s defined practices and procedures.

Main Responsibilities

  • Planning and overseeing all administrative support and office services
  • Scheduling administrative team on various special projects that arise from time to time
  • Coordination and communication of office activities, reception duties and general troubleshooting
  • Coordinate and collaborate with other staff and Partners to help complete the administrative requirements to complete tasks and meet deadlines,
  • Organize community outreach and marketing initiatives
  • Being responsible for the safety requirements of the offices facilities and assets
  • Ensure adequate supplies of office stationery, general office supplies, office furniture, and other equipment is being met
  • Coordinate special meetings, seminars, workshops, special projects, and social events.
  • Assist in the management of building security, such as the assignment of keys and alarm codes for approved personnel.
  • Manage janitorial, cleaning, repair, and maintenance service provider contracts and service level agreements as required
  • Additional responsibilities, including but not limited to: preparing documents, filing, scanning, organizing paperwork, meeting organization, assisting with projects and other duties when necessary.

Qualifications, Skills & Personal Attributes

  • Minimum of two years administrative experience, preferably in a professional services firm
  • Minimum of two years of direct work experience in an office supervisor or facility management capacity.
  • Business Administration diploma/degree preferred.

  • Strong written and verbal skills to communicate with all levels of the organization and its executive team.
  • Self-motivated, results-oriented individual who demonstrates initiative and maturity under pressure;
  • Exceptional interpersonal skills with a strong focus on client service and a high degree of professionalism;
  • Ability to develop a positive rapport and convey concepts and services with clients;
  • Ability to work in a confidential environment and handle sensitive information with complete discretion;
  • Ability to prioritize and manage multiple tasks and deadlines;
  • Ability to be flexible and available for overtime as needed;
  • Excellent analytical and problem solving skills;
  • Proficient computer skills, including Microsoft Outlook, Word, Excel and Adobe Acrobat.
